QuickBooks Online for nonprofits — the setup we recommend
Chart of accounts, restricted vs. unrestricted, and how to make grant tracking quiet instead of constant.
QuickBooks Online is not built for nonprofits. It is built for small businesses, and nonprofits are made to use it by convention. With the right setup, that convention works fine — better than fine, actually — but the setup is where most organizations get stuck for years.
The first decision is your chart of accounts. We recommend the Unified Chart of Accounts (UCOA) as a starting point and then prune aggressively. A treasurer should be able to read a Statement of Activities and recognize every line. If there are accounts on the report nobody opened this year, delete them.
The second decision is how you will track restricted funds. QuickBooks Online has classes and locations, and we use one of them — almost always classes — exclusively for net-asset restriction (Without Restriction, With Restriction, and a sub-class per grant if you have more than a handful). Programs and departments live in a separate dimension; we usually use Projects for that.
The third decision is the donation pipeline. If you take online donations, run them through a single deposit account in QuickBooks that mirrors the actual bank deposits. Reconciling Stripe / PayPal / DonorBox payouts as they hit the bank is faster and less error-prone than journal-entering every individual gift.
Once those three are in place, monthly close is mostly automated: bank feeds, a handful of recurring journal entries (depreciation, prepaid amortization), and a fifteen-minute review by the executive director or treasurer. Grant reporting becomes a saved report that you export, not a project.
